What is NoteBot AI?

NoteBot AI is a powerful note-taking app for iPhone and Mac with built-in AI capabilities. It lets you create sticky notes and meeting minutes, search your notes using natural language, extract text from photos using OCR, and sync everything across your Apple devices via iCloud. All AI processing happens entirely on your device — your notes never leave your control.

What platforms does NoteBot AI support?

NoteBot AI is available on iPhone (iOS 17+) and Mac (macOS 14+). Your notes sync automatically across all your devices signed into the same Apple ID via iCloud.

How do I create a new note?

On iPhone: Tap the + button in the top-right corner of the notes list.

On Mac: Click the + button in the toolbar, or use the File menu. You can also use keyboard shortcuts — Cmd+N for a new sticky note, or Cmd+Shift+N for new meeting minutes.

What's the difference between sticky notes and meeting minutes?

Sticky notes are for quick thoughts, ideas, and general note-taking. Meeting minutes are structured notes designed for recording meetings, with support for titles, attendees, and action items. You can filter between the two types using the sidebar on Mac or the filter toggle on iPhone.

How do I organise my notes?

You can organise notes using tags, pin important notes to the top of your list, and star notes for quick access. Use the sidebar (Mac) or the navigation tabs (iPhone) to filter by All Notes, Sticky Notes, Meeting Minutes, Pinned, or Starred. You can also search your notes using the search bar.

How does AI search work?

NoteBot AI includes an on-device AI model that lets you search your notes using natural language. Instead of searching for exact keywords, you can ask questions like "What did I write about the project deadline?" and the AI will find relevant notes. The AI model needs to be downloaded once (from Settings) and runs entirely on your device.

Do I need to download the AI model?

The AI model is an optional download that enables the AI Chat feature for natural language search. You can download it from Settings > AI Model. The app works fully without it — you can still create, edit, organise, and search notes using standard keyword search.

Does NoteBot AI send my data to the cloud for AI processing?

No. All AI processing happens entirely on your device using a locally downloaded model. Your notes are never sent to external servers for AI processing. The only cloud service used is Apple's iCloud for syncing your notes across your own devices.

What is Photo OCR?

OCR (Optical Character Recognition) lets you extract text from photos. You can attach photos to your notes and NoteBot AI will automatically recognise and extract any text in the images, making it searchable alongside your typed notes.

How does the free trial work?

NoteBot AI offers a 14-day free trial with full access to all features. After the trial period ends, you'll need to make a one-time lifetime purchase to continue using the app. There are no recurring subscriptions.

What happens when my trial expires?

When your 14-day trial expires, you'll be prompted to purchase NoteBot AI to continue. Your existing notes are preserved — they are not deleted when the trial ends. Once you purchase, you regain full access to everything.

Is it a subscription or a one-time purchase?

NoteBot AI uses a one-time lifetime purchase model. You pay once and have access forever — there are no monthly or annual subscription fees.

How do I restore my purchase on a new device?

Go to Settings > Subscription > Restore Purchases. This will check your Apple ID for any previous NoteBot AI purchases and restore your access. Make sure you're signed into the same Apple ID you originally used to purchase.

I purchased the app but it's still showing the trial/paywall.

Try the following steps:

1. Go to Settings > Subscription > Restore Purchases
2. Make sure you're signed into the correct Apple ID
3. Restart the app

How do I export my notes?

On iPhone: Go to Settings > Data > Export Notes. This creates a JSON file you can save or share.

On Mac: Go to Settings > Data tab > Export Notes, or use the export option in the user menu. The export includes all your notes with their tags, colours, and metadata.

How do I import notes?

On iPhone: Go to Settings > Data > Import Notes and select a previously exported JSON file.

On Mac: Go to Settings > Data tab > Import Notes. The import will add the notes to your existing collection without overwriting anything.

Can I delete all my data?

Yes. Go to Settings > Data > Delete All Notes. This permanently deletes all notes from the app and cannot be undone. We recommend exporting your notes first as a backup.

Is my data backed up?

If you have iCloud enabled, your notes are automatically synced and backed up to iCloud. You can also manually export your notes to a JSON file at any time from Settings as an additional backup.

What data does NoteBot AI collect?

NoteBot AI does not collect any personal data or analytics. Your notes are stored locally on your device and in your private iCloud account. No data is sent to third-party services. See the Privacy Policy for full details.

The app is running slowly.

Try the following:

1. Make sure you're running the latest version of the app
2. Restart the app
3. Check that your device has sufficient storage space
4. If using the AI model, note that initial indexing may take a moment after first download

My notes aren't syncing between devices.

Check the following:

1. Both devices are signed into the same Apple ID
2. iCloud is enabled in your device settings
3. NoteBot AI has iCloud access enabled (Settings > Apple ID > iCloud > Apps Using iCloud)
4. Both devices have an internet connection
5. Try restarting the app on both devices

I can't download the AI model.

Make sure you have a stable internet connection and sufficient storage space on your device. The AI model download requires approximately 200MB of free space. If the download fails, try again on a Wi-Fi connection. You can check the model status in Settings > AI Model.

The app crashed or I found a bug.
